Define each category in writing so leaders apply them consistently from year to year.
A simple annual review process
- Export or print the current roll.

- Record the date and reason for any status change.
- Update the directory only with consented public fields.

- Separate public directory data from private pastoral notes.
- Review membership rolls at least annually.
- Record status changes with dates and brief rationale.
- Train only necessary staff and officers for sensitive access.
- Create a clear path for transfers in and out.
